How to choose school management software: 15 questions to ask before you sign up

Most schools choose software from a demo that looks good and discover the gaps three months later. These 15 questions help you find the gaps before you pay.

Start with how your school actually works

Before you look at any product, write down the parts of your school that are not standard. A general K-12 system will handle grades and sections. The trouble starts with the details: an evening shift, a practical subject with its own marks, siblings with one fee account, a second language of instruction, or teachers who are paid by the hour.

Keep that list next to you during every demo. It is more useful than any feature comparison table.

Structure and daily work

  1. Can the system match our structure: grades, sections, streams, shifts and terms, without workarounds?
  2. Can a subject have separate theory and practical parts, with separate marks?
  3. How long does it take a teacher to take attendance for one class? Ask them to show you on a phone.
  4. Can we build a timetable that prevents a teacher from being booked twice?
  5. Can we promote a whole class to the next year and keep each student’s history?

Fees and money

  1. Can we create different fee structures per grade, with optional items such as transport or meals?
  2. Are installments, discounts and sibling discounts supported without editing the whole structure?
  3. Can the accounts office see, in one list, who has paid and what is overdue?

Parents, students and staff

  1. What exactly can a parent see: attendance, timetable, results, fees, announcements?
  2. Can one parent follow several children with one account?
  3. Are staff records, leave and payroll included, or is that a separate product?

Data, security and support

  1. Is our data stored separately from other schools, and can we export everything at any time?
  2. Can we control what each role can see, for example teachers versus accountants?
  3. Is the interface available in the languages our staff and parents use?
  4. What happens in the first week: who helps us import students and set up the year?

A note on price

Compare the total cost for your size, not the starting price. Ask whether all features are included or whether fees, exams or the parent portal are add-ons. Ask how the price changes when you grow from 150 to 300 students. And always run a trial with your own data. A system that looks complete with sample data can feel very different with your real classes.
