Managing a vocational school: theory and practical subjects, workshops and grading
Vocational and technical schools have a structure that general school software was not designed for. These are the areas that need the most care.
Organize by specialization first
In a technical school, the specialization matters more than the grade. Electrical, mechanical, IT and hospitality students may share some general subjects but have very different practical subjects, workshops and teachers. Set up each specialization as its own stream with its own subject list.
Treat theory and practical as two parts of one subject
A subject such as electrical installations usually has a theory exam and a practical assessment. Record the two parts separately, with their own maximum marks, and show both on the report card. This makes it clear where a student needs support.
Schedule workshops as a limited resource
- List every workshop and lab with its capacity
- Split large classes into practical groups
- Place workshop sessions in the timetable first
- Make sure the same workshop is not booked twice
Take attendance per session
Absence from a practical session is harder to make up than absence from a lecture. Record attendance for each session, not once a day, and review practical attendance separately.
Shifts and evening programs
Many technical schools run an evening shift for working students. Give each shift its own timetable, and keep fees and attendance reports separate where needed.
