Running a tutoring center: groups, packages and paying teachers by the hour
Tutoring centers grow quickly and their spreadsheets do not. These are the records that matter most once you have more than a handful of teachers.
Groups and sessions
Organize students into groups by subject, level and time, and attach each group to a teacher. Each session then belongs to a group, which makes attendance, teacher hours and reports follow automatically.
Packages and renewals
Most centers sell packages: a number of sessions, or a month of classes. Record each student’s package, how much of it is used and the renewal date. Contact families a few days before the package ends, not after.
Paying teachers by the hour
- Record each session with its real duration
- Mark sessions that were cancelled or rescheduled
- Summarize hours per teacher at the end of each month
- Share the summary with the teacher before payment
When the teacher sees the same numbers as the office, payment disputes disappear.
Placement and levels
For language and skills centers, a short placement test puts each new student in the right group from the start, which reduces early drop-outs.
