Language and Quran institutes: organizing levels, groups and progress

Language and Quran institutes do not work like schools. Students join at any time, move between levels at their own pace, and parents want to know what was covered this week, not only at the end of the term.

Organize by level, not by age

Treat each level as a class and each group within the level as a section. A student who passes a level test moves to the next level, even in the middle of the year. Keep the level description clear, for example the book or the portion of the Quran covered, so parents and teachers use the same words.

Short sessions, many groups

Institutes often run many short sessions across the week, in the evening or at weekends, sometimes online. Build a weekly timetable for each group and check each teacher's week to avoid double bookings. For online sessions, attach the meeting link to the lesson so that attendance is recorded when the student joins.

Track progress every session

Progress is the main thing parents pay for. Record it in small steps:

  • Attendance for every session.
  • What was covered: the lesson, unit or portion.
  • A short assessment at regular intervals, with marks or a grade.
  • A level test before moving up.

Teachers and hours

Many teachers in institutes are part-time and paid by the hour or by group. Keep their timetable, attendance and leave in the same system as the students, so you can see the hours taught and plan cover when someone is absent.

Fees that match how you sell

Institutes sell monthly subscriptions, packages of sessions or term fees. Set up the fee type that matches each offer, with installments if needed, and keep a clear list of who has paid. Siblings are common, so link them to one parent account.
